WiFi Weave Privacy Policy
Last updated: 10-04-2026
1. Introduction
WiFi Weave ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services.
2. Information We Collect
Account data (planner, access.wifiweave.com). Name, email address, password (stored only as a one-way hash), country, and the subscription plan and status. If you sign in through single sign-on with an existing account, we receive your name and email from that identity provider.
Content you create. Floor-plan images and CAD drawings you upload, the walls, access points, survey measurements, comments and reports you create from them, and the branding (company name, logo, client name) you choose to put on reports. Survey measurements recorded with the Android survey app contain the signal strengths and network names (SSIDs and BSSIDs) seen at each point of your floor plan; no GPS position or photo is uploaded.
Product usage. When you are signed in to the planner we record which features you use (for example, that you opened the Auto Planner or exported a PDF report), when, and the plan of the account, together with the date you last opened the planner. We do not record the content of your floor plans, anything you type, or your IP address for this purpose. This is first-party data; it is never shared with or sold to advertisers.
Security records. Sign-ins, password resets, share-link views and similar events are logged with the IP address and browser identifier of the request, to detect abuse. IP addresses and browser identifiers are removed from these records after 30 days.
Billing. Payments are taken by our payment processors; we never see or store card numbers. We receive and keep the subscription identifier, plan, amount, currency and dates, and the invoices we issue to you. Payment notifications from the payment processors are stored for 7 days with payer details removed, then deleted.
Forms and chat on wifiweave.com. If you use the contact form, request the starter kit, ask for a quote, or use the live chat, we keep what you send (name, email, company, message, chat transcript) together with the IP address of the request, and the message is emailed to our sales or support mailbox. Chat transcripts are deleted after 90 days.
Website analytics. With your consent (the banner at the bottom of the site) we use a website analytics service to count visits, pages and tool usage, with IP anonymisation on. Without consent no analytics cookie is set. We do not use advertising pixels.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Communicate with you about our services
- Respond to your inquiries and support requests
- Send you technical notices and updates
- Detect and prevent fraud and abuse
- Understand which features are used and which are not, so we can improve the product and decide what to build next
4. Who We Share Data With
We do not sell personal data and we do not share it with advertisers. We use the following providers to run the service; each receives only what is needed for its purpose:
- A content delivery and security provider — network security, caching and bot protection in front of all our sites (sees IP addresses and requests).
- Payment processors — subscription and one-off payments (receive your name, email and the plan you buy; handle card data themselves).
- A website analytics service — website usage statistics, only with your consent, IP anonymised.
- A video hosting service — embedded tutorial videos on some pages; nothing is loaded from it until you press play (privacy-enhanced mode).
- Identity providers — optional single sign-on to the planner with an account you already have.
- Our email provider — delivers account, billing and support emails, and the optional onboarding emails you can unsubscribe from in one click.
- An image-analysis service — the automatic wall-detection model receives the floor-plan image you ask it to analyse, and nothing else.
- Hosting providers — our servers in the EU and India, where the planner database and uploaded floor plans are stored.
We may also disclose data where the law requires it, or to protect the rights and safety of our users and ourselves.
5. Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized or unlawful processing, accidental loss, destruction, or damage.
6. Your Rights, Retention and Cookies
Access and portability. In the planner, open Account → Your data → "Download my data" to get everything we hold about your account as one file, at any time.
Deletion. Account → Your data → "Delete my account" removes your account, every floor plan and everything derived from it immediately. Invoices are kept for tax purposes with the link to your account removed; product usage records are kept only as anonymous counts. If you have an active subscription, cancel it with the payment processor too, or email us and we will.
Correction and objection. You can change your name and password in Account settings. Every marketing email has a one-click unsubscribe; billing and security emails are not marketing and continue while you have an account. You can withdraw analytics consent by clearing this site's cookies, after which the banner asks again. For anything else, email privacy@wifiweave.com.
Retention. Account and content data: until you delete it or the account. Security log IP addresses and browser identifiers: 30 days. Security logs: 180 days (billing events: 7 years). Payment notifications: 7 days with payer details removed, 90 days as a bare record. Expired share links: 30 days. Chat transcripts and form submissions: 90 days. Email queue entries: 7 days.
Cookies. wifiweave.com sets a consent-choice cookie (12 months) and, with consent, analytics cookies. The live chat sets a session cookie so your conversation can continue (30 days). The planner keeps your sign-in token in your browser's local storage; signing out revokes it everywhere.
7. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
